The Portage County Clerk of Courts Court Links page states that its public-access site contains case information from the Portage County Common Pleas Court—General and Domestic Relations Divisions—Probate Court, and the Ravenna and Kent Municipal Courts from 1992 through the present date. The same page warns that the data can contain errors, omissions, or discrepancies.
Use the court branch shown in the result. A Common Pleas felony matter and a municipal traffic/criminal matter are different court files even when both are reached through the county clerk’s site. Save the case number and branch before asking for a judgment, sentencing entry, or certified copy. An index match is a locator, not a statewide Ohio criminal-history check.
For either state, use the index to answer three questions before requesting papers: Is this the right person? Is this the right court and case number? What disposition or docket event answers the reader’s question? If the index shows a final disposition, identify the filing that records it rather than relying only on a summary line.
When you contact the clerk, provide the complete case number, defendant name, approximate filing year, and the document title or event you need. Ask whether a plain copy is sufficient or whether the recipient requires certification. If the index does not show an underlying document, use the clerk’s inspection or copy process instead of treating the absence of an image as an absent case.
